Setting up SMTP Email Relay in Rentopian

In order to send emails from your email account rather than your emails coming from [email protected] (although your user's name or company details will be shown in the sender name) you'll need to connect your email to your Rentopian account using SMTP relay.

Keep in mind, if using SMTP Rentopian will no longer be able to track the status (Delivered, Opened, Read, etc) of your emails, your customers will be able to mark the email as spam potentially harming your ability to send emails outside of Rentopian, and you may reach a send limit imposed by your email server and not be able to send emails through your inbox or Rentopian.

First, navigate to your Settings options by clicking on Settings in your main navigation menu. From your Settings options, you'll click on the Emails and Templates cell block.

Next, click on the SMTP Settings tab in your email settings options. Then click on the Add SMTP Details button.

A pop-up window will open where you can enter your credentials.

User name – Your username will be the email address you're connecting

Password – Your password may or may not be the password you use to login to your email inbox. Some email providers require an app specific password.

Host – The host will most likely be your email provider but you'll need to confirm this with your email provider or administrator

Port – The port will be provided by your email provider.

Encryption – Select the option in the drop down that is preferred by your email provider.

We've provided some brief instructions below on finding your credentials, but you can contact your email service provider or check their knowledge base to find out what information on the host, port, and encryption type you should provide.

Once you've entered your credentials, click on the green Test Connection button. If your connection is successful, you see a green success message in the upper right of your screen.

If the connection is successful, click on the green Confirm button.

If something goes wrong, you have an SMTP error log where you can see and track what types of errors occurred in the connection between your email and the Rentopian platform. To see the log, click the SMTP Error Log button.

A pop-up window with the list of errors will open. You can select the number of entries you want to see on the list and search for it.

Finding Your Credentials

How to Find SMTP Credentials for Your Outlook Email

  1. Open Outlook Settings

    • Log in to your Outlook email via a web browser at outlook.com.

    • Click on the gear icon (⚙️) in the top-right corner to open the Settings menu.

    • Select View all Outlook settings at the bottom.

  2. Navigate to Mail Settings

    • In the settings window, click on Mail in the left-hand menu.

    • Under Mail, select Sync email.

  3. Find SMTP Details

    • Scroll down to the POP and IMAP section.

    • Look for the SMTP Server settings:

      • Server: smtp.office365.com

      • Port: 587

      • Encryption: STARTTLS

  4. Your Email Address and Password

    • Your email address is your SMTP username.

    • Your email password is your SMTP password (or an app password if you use multi-factor authentication).

How to Find SMTP Credentials for Your Gmail Account

  1. Enable IMAP Access in Gmail

    • Log in to your Gmail account via a web browser at mail.google.com.

    • Click on the gear icon (⚙️) in the top-right corner and select See all settings.

    • Navigate to the Forwarding and POP/IMAP tab.

    • Under the "IMAP access" section, select Enable IMAP and click Save Changes.

  2. Set Up an App Password (if necessary)

    • If you have 2-step verification enabled, you will need to create an App Password:

      • Go to your Google Account's Security section.

      • Under "Signing in to Google," select App Passwords.

      • Follow the prompts to generate a new App Password, which you'll use instead of your regular password for SMTP.

  3. Find SMTP Details

    • Use the following SMTP details:

      • Server: smtp.gmail.com

      • Port: 587

      • Encryption: STARTTLS

  4. Your Email Address and Password

    • Your email address is your SMTP username.

    • Your App Password (or your regular password if you don’t use 2-step verification) is your SMTP password.
