Processing Early Returns for Multi Durational Transactions

Rentopian’s multi durational feature lets you manage orders with multiple date ranges and items. If you need to return some items earlier than scheduled while others remain rented out, follow the steps below.

1. Convert to a Multi Durational Transaction (If Needed)

  1. Create or Open an Order: Go to an existing order or create a new one.

  2. Convert to Multi Durational: On the left side, select Convert to Multi Durational Transaction. This separates the order into one or more date ranges.

  3. (Optional) Add Additional Date Ranges: Specify different start/end dates for specific items if needed.

2. Rented Out Status

Mark the order as Rented Out once items are dispatched or rented to your client. Make sure serial numbers (if applicable) are selected before continuing.

3. Early Return Process

  1. Initiate Return: Click Return on the order or item list.

  2. Select Items to Return: In a multi durational transaction, the system asks which items are coming back early. Only choose those items being returned now.

  3. Confirm Return: Process the return. You can skip or record a payment as needed.

4. Automatic Split and Recalculation

  • Order Details: Rentopian automatically splits out early-returned items and adjusts their date range (e.g., Dec 10–Dec 17).

  • Pricing Adjustments: If you’re issuing a partial refund or changing the final charge, review the updated pricing in the order details. Adjust the item’s price as needed to reflect any discount or remain unchanged.

5. Finalizing the Remainder of the Order

Any items not returned early will remain in the Rented Out status until their scheduled return date. You can follow the standard return procedure for the remaining items at the appropriate time.
