Using the Auto-Extend Feature in Rentopian
The Auto-Extend feature in Rentopian allows an order to automatically renew itself after a specified date range. This is particularly useful for long-term or recurring rentals where you want to generate separate orders and invoices for each renewal period.
1. How Auto-Extend Works
Select Date Range: Set the start and end dates for the initial rental period (e.g., March 28 β March 29).
Enable Auto-Extend: Tick the Auto-Extend checkbox. When the end date arrives, Rentopian will close out (Return) the current order and automatically create a new one for the same length of time.
Stop Renewal Anytime: If you no longer need additional renewals, simply open the newest order, return it, and the automatic process stops.
2. Extend Monthly vs. Manual Date Ranges
Extend Monthly (Exact Calendar Months):
Enable when the chosen dates cover a full month (e.g., April 1 β May 1).
Handles varying month lengths (28, 30, 31 days) automatically.
Manual Date Range:
Specify any range (e.g., 5 days, 2 weeks), and Auto-Extend will replicate that exact span.
3. Auto-Extend vs. Scheduled Payments
If you need a single long-term order (e.g., six months) and only want to charge monthly without creating new orders, consider using Scheduled Payments instead. Scheduled Payments keep everything under one order record but allow multiple payment due dates.
Use Cases for Auto-Extend
Recurring Rentals: When you want separate order numbers and invoices for each new period.
Long-Term Contract Split: Keep each period tracked individually, making it easier to manage partial returns or billing changes.
