How to Edit Email Templates in Rentopian

Customize your email templates in Rentopian to ensure they align with your communication needs. Follow these steps to edit an email template:

1. Navigate to Email Templates

  • Go to Settings.

  • Click on Emails and Templates.

  • Select the Templates tab.

2. Find and Open a Template

  • In the templates tab you'll find all the standard email templates.

  • You can use the search bar to find the template you need by typing in relevant keywords (e.g., type "review" to find the template for the Request for Review email).

  • Once you locate the template you'd like to edit, click the pencil icon to edit it.

3. Edit Template Details

  • At the top, view the optional shortcodes available for dynamic content.

  • In the Template Details section, you can modify:

    • Template Name: An internal title that only displays in Rentopian

    • Subject Line: The subject line of the email seen by the recipient

    • Description: Similar to the template name, this is information that only displays in Rentopian

    • Reply-To Address: When a customer clicks reply when they receive this email, this will be the email the reply goes to. You only need to edit this if it should be different from the default.

    • Additional Recipients (CC/BCC) Here you can add anyone who should also receive a copy of this email anytime it goes out.

4. Edit Email Content

  • Modify the text within the content box using formatting options similar to any word processor.

  • To include company-specific information, use the Company Details option or use Specific Tags to insert relevant information about the transaction.

5. Manage Attachments

  • Add or remove attachments, such as:

    • Transaction Details (quote or order summary)

    • Invoice Details

  • Alternatively, leave attachments off all together.

6. Save Your Changes

  • Once all edits are complete, click the green Save Template button.
