Using Barcode & QR Code Scanning

Rentopian’s built‑in scanner workflow lets you speed‑up quoting, order management, and returns—all with any Bluetooth scanner that emulates a keyboard. Below is an end‑to‑end guide covering setup, adding items, renting out, returning, and instantly pulling up orders or invoices.

1. Scanner Setup & General Behavior

  • Device Compatibility: Any barcode/QR scanner that connects via Bluetooth or USB and types the scanned value as “keystrokes” will work.

  • Active Window Required: Before scanning, click anywhere inside your Rentopian tab so the keystrokes land in the browser.

  • Scanned Items Panel: When you scan on a page without direct barcode actions (e.g., Dashboard, Reports), items appear in Scanned ItemsProducts / Transactions / Invoices for quick access.

2. Creating a Quote/Order by Scanning Products

  1. Dashboard Scan ➜ New Transaction

    • Scan products anywhere (e.g., Dashboard). They collect under Scanned Items > Products.

    • Select the products ➜ Create New Transaction, choose dates, and Rentopian builds the quote with items pre‑selected (including add‑ons).

  2. Direct Scan on Quote/Order Form

    • Create a new quote/order, set the dates, scroll to Products.

    • Scan each Barcode/QR — items populate instantly; choose add‑ons if prompted.

3. Opening an Existing Quote, Order, or Invoice via Barcode

Print the document barcode (found on PDFs). Scan it from any Rentopian page to open the record in a right‑hand sidebar for fast look‑ups and actions.

4. Selecting Serialized Items with the Scanner

  1. Open the order ➜ click Rent Out or Individual Items. The serial‑number window appears.

  2. Start scanning each barcode or a QR code — Rentopian adds them to the list automatically.

  3. If an unrelated code is scanned, you’ll see a “No matching serial” warning so you can investigate.

  4. Save to lock selections, then Rent Out the order.

5. Returning Items with the Scanner

  1. Click Return on the order.

  2. Deselect All (recommended) so nothing is pre‑selected.

  3. Scan each item being checked‑in:

    • Serialized: Each scan ticks its specific serial line.

    • Non‑serialized: Each scan increments the quantity received.

  4. Select/adjust any remaining add‑ons manually, then click Receive.
