Creating Web Forms with Embedded Contracts
Rentopian allows you to tie web forms to contracts, so when a client submits a form, they also sign an agreement containing the information they provided. This is ideal for confirming delivery details, guest counts, or other order-related inputs with client certification. It could aslo be used for many other cases, such as authorizations and waivers.
1. Create or Choose Your Web Form
Go to Web Forms ▶ Forms.
Create a new form or select an existing one (e.g., Additional Information Needed).
Include relevant fields such as delivery address, pickup date, guest count, and file uploads.
2. Create a Contract Template Tied to the Web Form
Go to Settings ▶ Contracts ▶ Templates.
Click Create Template and name it (e.g., “Additional Information Needed Contract”).
Select a location if applicable, and fill out name, subject and other fields as needed.
Enable the contract for Quotes and Orders or one or the other option.
Set the generation type to Generate Based On Web Form.
Select the web form you want to tie this contract to (e.g., “Additional Information Needed”).
3. Add Contract Language and Tags
In the contract body, write the desired contract language or terms. Use dynamic tags to personalize it:
Insert Client Name: Use {client.name} from the Custom Tags dropdown.
Insert Web Form Fields: Use the available tags under Webform Tags to pull in submitted data like delivery address, pickup date, and guest count.
Add Signature Field: Insert the Signature tag from the Custom Tags list so the client can sign the contract.
Note: File uploads (like certificates of insurance) cannot be embedded into the contract text but will still be available on the order.
4. Send the Web Form with Contract
Go to Orders ▶ Transactions and open the relevant order.
Click Send Web Form and choose the form tied to the contract (e.g., “Additional Information Needed”).
Send the form to the client. After submitting the form, the client will be directed to review and sign the contract.
5. Access the Signed Contract
Once signed, the contract will automatically be stored under the Documents section of the quote or order, or under Clients -> Files section if the Web Form used was for clients, making it easy to access for reference or auditing.
