Financial Order Details Report

Learn how to run the Financial Order Details Report in Rentopian to view a detailed breakdown of transactions for accounting and analysis.

The Financial Order Details Report provides a detailed breakdown of all transactions within a selected date range. It’s especially popular with accountants because it separates rental items, sale products, delivery fees, and other charges into their own columns for easier review.

1. Access the Report

  • Go to the Reports section in your Rentopian dashboard.

  • Select the Financial Order Details Report.

2. Set Filters

  • Location: Run the report for a specific location or select All to include every location.

  • Date Range: Enter the start and end dates for your report.

  • Date Type: Choose which date to filter by:

    • Creation Date: Date the transaction was created.

    • Start Date: Start date of the transaction.

    • End Date: End date of the transaction.

    • Event Date: Event date from the logistics section Note: only works if all transactions have an event date entered. You can make Event Date required in your Order Settings to ensure every transation has an event date entered.

    • Convert Date: Date the transaction was converted from a quote to an order.

  • Transaction Type: By default, only orders are included. You can also include quotes if needed.

  • Transaction Status: Select from:

    • Created: An active reservation or quote.

    • Rented Out: Items are with the customer.

    • Returned: Transaction completed and closed.

    • Cancelled/Expired: Include canceled or expired orders.

    • All: Includes every status.

  • Event Type: Filter by specific event types (set up in your Settings).

  • User: Filter by specific user; you can include inactive users as well.

3. Generate the Report

  • After setting filters, click the green Generate Report button.

  • The system will display all transactions that match your criteria.

4. View and Navigate the Results

  • Some information may be collapsed if your browser window is narrow—click the gray arrows on the left side of each row to expand details.

  • Use the Search box to find specific keywords within the transactions.

  • Adjust the number of lines displayed per page (default is 25).

5. Share or Export the Report

  • Send the report by email to any user or type in an external email address.

  • Choose the attachment format: PDF, Excel, CSV, or JSON.

  • You can also export the report directly to a file in any of these formats.
