Transaction (order/quote) Templates

Transaction Templates in Rentopian allow you to save commonly repeated transactions as reusable blueprints. These templates can be used to manually create new transactions or automatically generate them via Excel import, saving time and reducing data entry errors.

What Are Transaction Templates?

A Transaction Template is a standard transaction saved for repeat use. Templates are based on the billing or delivery address of the transaction. This allows Rentopian to later match and recreate orders automatically when importing orders in bulk by the address.

Manual Use of Templates

You can manually create new orders using an existing template by selecting it from the Order Templates section of the menu and cloning much like cloning any transaction. This is useful when you frequently serve the same customer with the same items, pricing, and logistics.

Automated Use via Import

Rentopian also supports importing orders through an Excel and CSV file. If your import file includes a Start Date, End Date, and Billing or Delivery Address, Rentopian will search for a transaction template with a matching address and automatically recreate the transaction with updated dates.

How to Create a Template

  1. Create a new transaction as usual.

  2. At the bottom of the Billing Address or Delivery Address section, check the box labeled “Mark as Template.”

  3. Save the transaction template.

Important Notes

  • Transactions marked as templates are excluded from standard processing — no payment will be due, they won’t appear in dispatching, automation, or reminders.

  • If you're cloning a past order just to turn it into a reusable template, simply open the original order, click Clone, mark it as a template, and save.

  • This is useful for seasonal events, recurring client setups, or any frequently repeated bookings.

  • Creating event packages for annual clients (e.g. same tent, tables, delivery).

  • Recurring jobs with the same crew, items, and layout.

  • Excel and CSV import of large number of order from property management companies and more.
