Understanding Your Dashboard Statistics Widgets

Learn what each dashboard widget shows, how metrics are calculated, and how to use them to track orders, quotes, deliveries, and invoices.

Your dashboard includes widgets that show key metrics at a glance. You can choose which widgets to display. This guide explains what each widget shows and how it’s calculated.

How Widgets Work

Each widget shows:

  • A main value for the selected date range

  • A percentage change compared to the previous period (default: 7 days earlier)

  • An up/down arrow indicating an increase or a decrease

The date range is set using the "Update Dashboard Dates" button at the top of your dashboard.

Available Widgets

New Orders

What it shows: The number of confirmed rental orders created during the selected period.

How it’s calculated:

  • Counts orders created within the selected date range

  • Only includes confirmed orders (not quotes or tentative orders)

  • Excludes template orders

Use it to: Track new business and order volume trends.

New Quotes

What it shows: The number of rental quotes created during the selected period.

How it’s calculated:

  • Counts quotes created within the selected date range

  • Includes all quotes, regardless of conversion status

  • Excludes template quotes

Use it to: Monitor quote generation and sales pipeline activity.

Tentative Orders

What it shows: The number of orders in tentative status during the selected period.

How it’s calculated:

  • Counts orders with tentative status created within the selected date range

  • These are orders that are not yet fully confirmed

Use it to: Track pending orders that may need follow-up.

Converted Quotes

What it shows: The percentage of quotes that were converted into confirmed orders.

How it’s calculated:

  • Formula: (Number of Orders / Total Orders + Quotes) × 100

  • Based on orders and quotes created within the selected date range

  • Shows your quote-to-order conversion rate

Use it to: Measure sales effectiveness and conversion performance.

Orders Totals

What it shows: The total monetary value of all confirmed orders created during the selected period.

How it’s calculated:

  • Sums the order total plus fees for all confirmed orders

  • Includes only orders created within the selected date range

  • Displayed in your company’s currency

Use it to: Track revenue from new orders and financial performance.

Going Out (Items)

What it shows: The number of orders starting (items going out) and the total quantity of items in those orders.

How it’s calculated:

  • Counts orders with start dates within the selected date range

  • Only includes orders with "Created" status (not yet rented out)

  • Sums the total quantity of items across all these orders

  • Handles orders with mixed dates (different items starting on different dates)

Use it to: Plan inventory needs and prepare for upcoming rentals.

Returning Orders

What it shows: The number of orders scheduled to be returned during the selected period.

How it’s calculated:

  • Counts orders with end dates within the selected date range

  • Includes orders that are currently active or rented out

  • Shows how many orders are coming back to your inventory

Use it to: Plan for returns and inventory availability.

Overdue Returns

What it shows: The number of orders that should have been returned but haven’t been yet.

How it’s calculated:

  • Counts orders with end dates that have passed

  • Only includes orders that are still active or rented out (not yet returned)

  • Helps identify items that need follow-up

Use it to: Identify overdue rentals that require attention.

Expiring Quotes

What it shows: The number of quotes that are set to expire during the selected period.

How it’s calculated:

  • Counts quotes with expiration dates within the selected date range

  • Only includes quotes that are still active (not yet converted or expired)

  • Helps you identify quotes that need follow-up before they expire

Use it to: Prioritize follow-ups and prevent lost opportunities.

Overdue Invoices

What it shows: The number of invoices that are past their payment due date.

How it’s calculated:

  • Counts invoices with due dates that have passed

  • Only includes invoices with a remaining balance (not fully paid)

  • Excludes invoices connected to deleted clients

Use it to: Monitor accounts receivable and identify invoices that need collection efforts.

Delivery

What it shows: The number of delivery assignments assigned to you (if you’re a driver) during the selected period.

How it’s calculated:

  • Counts delivery assignments assigned to the logged-in driver

  • Only includes incomplete deliveries

  • Based on the assigned date within the selected date range

Use it to: (Driver view) Track your upcoming delivery assignments.

Pickup

What it shows: The number of pickup assignments assigned to you (if you’re a driver) during the selected period.

How it’s calculated:

  • Counts pickup assignments assigned to the logged-in driver

  • Only includes incomplete pickups

  • Based on the assigned date within the selected date range

Use it to: (Driver view) Track your upcoming pickup assignments.

Total Deliveries

What it shows: The total number of all delivery assignments (across all drivers) scheduled during the selected period.

How it’s calculated:

  • Counts all delivery assignments within the selected date range

  • Includes assignments for all drivers in your company

  • Based on delivery dates scheduled within the period

Use it to: Plan logistics and resource allocation for deliveries.

Total Pickups

What it shows: The total number of all pickup assignments (across all drivers) scheduled during the selected period.

How it’s calculated:

  • Counts all pickup assignments within the selected date range

  • Includes assignments for all drivers in your company

  • Based on pickup dates scheduled within the period

Use it to: Plan logistics and resource allocation for pickups.

Understanding Percentage Changes

Each widget (except Overdue Invoices and Overdue Returns) shows a percentage change comparing the current period to the previous period (default: 7 days earlier).

  • Green percentage with up arrow: Increase from the previous period

  • Red percentage with down arrow: Decrease from the previous period

  • 0.00%: No change, or both periods had zero values

Example: If "New Orders" shows "5" with "+25.00%", you had 5 new orders in the current period, which is 25% more than the previous period.

Customizing Your Dashboard

You can activate or deactivate widgets from the Dashboard Settings page. Active widgets appear on your main dashboard; inactive widgets remain available but hidden.

Tip: Activate widgets that match your role:

  • Sales teams: New Quotes, Converted Quotes, Orders Totals

  • Operations teams: Going Out, Returning Orders, Overdue Returns

  • Drivers: Delivery, Pickup

  • Finance teams: Orders Totals, Overdue Invoices

Need Help?

If a widget shows unexpected values, check:

  • The date range selected for your dashboard

  • Your division permissions (you may only see data for divisions you have access to)

  • Whether the "Include Quotes & Tentative Orders" option is enabled in dashboard settings
