What carries over when I clone a quote or order? (And what gets reset)

Cloning copies the client, products, services, addresses, and (optionally) pricing. Use the Clone modal checkboxes to control what carries over. Set permanent defaults under Settings → Orders → Order Cloning.

Cloning is the fastest way to recreate a similar quote or order — for repeat clients, recurring events, or building on a past job. Rentopian copies almost everything from the source transaction, but a few fields reset on purpose so the new transaction reflects today's pricing and a fresh delivery schedule. Each option is a checkbox in the Clone modal, and the default state of every checkbox is controlled in Settings → Orders → Order Cloning, so you can match cloning to your team's workflow once and not have to re-check the same boxes every time.

How to clone a quote or order

  1. Open the quote or order you want to clone.

  2. In the action panel on the left side of the view page, click the Clone action.


  3. In the Clone modal, set the new Start Date / Start Time and End Date / End Time for the new transaction.

  4. Review the Clone option checkboxes (see the next section) and adjust as needed for this clone.

  5. Click Create Transaction at the bottom of the modal.

  6. The new transaction opens in edit mode. Review and make any remaining changes (client, dates, items, pricing, logistics), then click Update Quote or Update Order at the bottom of the page to save and commit the transaction.

Note: Until you save in step 6, the cloned transaction is not finalized in the system. If you close the page or discard the changes, nothing is created.

What always carries over (not configurable)

  • Client and contact

  • Billing and delivery addresses

  • All products and sets, with their quantities and groupings

  • Tax setup and tax-exempt status from the client

  • Order title, additional details fields, and custom fields

  • Logistics type (Client pickup / We deliver / etc.)

What always resets (not configurable)

  • Order status (Created, Approved, Rented Out, Returned) — the new transaction always starts at the beginning of your workflow.

  • Logistics dates and times (delivery date, setup, event start/end, pickup) — these tie to the new date range.

  • Finalized status — re-finalize when ready.

  • Created By user — set to whoever clicks Clone.

Setting the default state of each Clone option

If your team almost always wants the same options checked, set them once instead of clicking them every time:

  1. Go to Settings → Orders.

  2. Scroll to the Order Cloning section.

  3. Check the box next to each option you want enabled by default (Keep Pricing, Keep Services, Keep Notes, etc.).

  4. Click Update Settings at the bottom of the page.

From now on, the Clone modal will open with your preferred boxes already checked. You can still uncheck any of them on a one-off basis when you clone.

Why services may look "missing" on the cloned transaction

If you cloned with Keep Services unchecked, services are intentionally removed — that is expected. If Keep Services was checked but a service still looks wrong (showing $0 or an outdated description), it usually means the service was tied to a rate or product that has since changed. To refresh a single service:

  1. Open the cloned transaction in edit mode.

  2. Scroll to the Services section.

  3. Remove the service line, then add it back from the dropdown.

The newly added line picks up the current service price and description.

Tip: Clone from a Template for repeat clients

If you regularly recreate the same kind of order for a specific client or venue, save it as a Transaction Template the first time. Templates live under the Templates section of the menu, where you can search and find the one you want to clone from — much faster than digging through past orders. Frequently asked

Will cloning reserve inventory?
It depends on what you clone. Cloning an order always reserves inventory for the new dates. Cloning a quote creates a new quote — and quotes only reserve inventory if you have a Quote Reserve Duration set in Settings → Orders → Quote Reservation. When set (for example, 7 days), each new quote temporarily holds the items for that number of days from the quote's creation date; after the window passes, the items are released. Set Quote Reserve Duration to 0 if you don't want quotes to hold inventory at all.

Can I clone a Multi-Duration transaction?
Yes. The date ranges and per-range items all carry over; you only need to shift the dates.

Can I clone an expired quote?
Yes. The clone is created as a fresh quote with a new expiration window based on your Quote Expiration settings.

The Clone modal opens with different boxes checked than I want — where do I change that?
Settings → Orders → Order Cloning. The default state of each Clone modal checkbox is set there company-wide.

The Extend option is not showing on a clone — why?
Extend only appears for orders (not quotes), and only when the source order is not in Returned status and is not a Multi-Duration order.
