How to Troubleshoot Google Calendar Sync Issues

In most cases, Google Calendar sync behavior is controlled by your integration settings and the sequence of actions performed when updating quotes and orders.

Why Some Quotes and Orders Do Not Sync

The Google Calendar integration only syncs transactions based on your current integration settings. If certain options are disabled, some transactions may not appear or may remain visible even after they have been cancelled or expired.

Common examples include:

  • Expired quotes continue to appear in Google Calendar.

  • Cancelled quotes or orders remaining on the calendar.

  • Previously synced events are not updating after integration settings are changed.

Understanding How Calendar Sync Works

When a quote or order is created or updated, the Google Calendar integration captures the activity and syncs the event based on your current settings.

It is important to note that changing Google Calendar integration settings does not automatically update events that were already synced previously. Existing calendar events may remain unchanged until a full resync is performed.

How to Remove Expired or Cancelled Transactions from Google Calendar

If expired or cancelled transactions continue to appear in your calendar, follow the steps below.

Step 1: Disconnect the Google Calendar Integration

  1. Navigate to Settings.

  2. Select Company Details.

  3. Open Third-Party Integrations.

  4. Locate the Google Calendar integration.

  5. Click Disconnect.

Disconnecting the integration alone does not remove previously synced calendar events.

Step 2: Delete the Existing Rentopian Calendars from Google Calendar

  1. Open Google Calendar.

  2. Locate the Rentopian calendars in the left-hand panel.

  3. Click the three-dot menu next to each calendar.

  4. Select Settings and Sharing.

  5. Scroll to the bottom and choose Delete Calendar.

  6. Repeat for all Rentopian calendars.

This removes all previously synced Rentopian events from your Google Calendar.

Step 3: Reconnect the Integration

  1. Return to Settings > Company Details > Third-Party Integrations.

  2. Reconnect your Google Calendar account.

After reconnecting, your calendar will be empty until a resync is performed.

Configure Your Sync Settings Before Resyncing

Before performing a resync, review the Google Calendar integration settings carefully.

Enable any options that should automatically remove transactions from your calendar, such as:

  • Delete expired quotes from Google Calendar.

  • Delete cancelled quotes from Google Calendar.

  • Delete cancelled orders from Google Calendar.

Click Update Settings after making your selections.

Resync Google Calendar Events

  1. Within the Google Calendar integration settings, click Resync Google Calendar Events.

  2. Review the available sync options.

  3. If you only want future transactions, select Only Sync Upcoming Orders.

  4. If you want both historical and future transactions, leave this option unchecked.

  5. Click Confirm.

The system will rebuild your Google Calendar events based on your current integration settings.

Verify the Results

After the resync completes:

  • Expired quotes should no longer appear if the removal option is enabled.

  • Cancelled quotes and orders should automatically disappear from Google Calendar.

  • Newly created quotes and orders should sync automatically moving forward.

You can test the integration by creating a new quote and confirming that it appears in Google Calendar. If you later cancel the quote, it should be automatically removed when the appropriate calendar settings are enabled.

Important Notes

  • Updating integration settings does not retroactively modify previously synced calendar events.

  • A full disconnect, calendar deletion, reconnection, and resync may be required to fully clean up existing calendar data.

  • Future quote and order updates will follow the settings currently configured in the Google Calendar integration.
