Receivables: See Who Owes You Money and Send Statements

Track outstanding balances by client with aging buckets (Current, 1–30, 31–60, 61–90, 90+), drill into open invoices, and send statements to one or many clients.

The Receivables section shows who owes you money, how much, and how late — one row per client, with every open balance broken into aging buckets. From the same page you can drill into the invoices behind any number, send statements to one or many clients, and collect payments.

Understanding the Aging Buckets

Every client's outstanding balance is split into five buckets based on each invoice's due date:

  • Current — not yet due

  • 1–30 — 1 to 30 days past due

  • 31–60 — 31 to 60 days past due

  • 61–90 — 61 to 90 days past due

  • 90+ — more than 90 days past due

The buckets are exclusive — each dollar appears in exactly one bucket, so Total = Current + 1–30 + 31–60 + 61–90 + 90+ on every row, every group subtotal, and the Report Total. A partially paid invoice only counts its remaining balance.

The summary cards at the top of the page total each bucket across all filtered clients. Click a card to narrow the table to clients with a balance in that bucket; click it again to clear.


Working with the Table

  • Group By — in Filters, group clients by Client Type, Sales Person, or Managed By. Each group gets a collapsible header with its own subtotals; the default is a flat list of clients.

  • Sort any column — the default is Total, largest exposure first.

  • Drill down — click the eye icon (or any amount in a row) to see the open invoices behind it: invoice number, order, dates, days past due, bucket, balance, and status. Use the bucket buttons at the top of the window to focus on one bucket.

  • Show / Hide Columns — extra columns are available (Email, Term, Sales Person, Managed By, Open Invoices, Last Statement Sent, Store Credit). Your column choices and their order are remembered for you.

  • Clients with a negative (credit) balance show a CREDIT badge.


Filters You Can Apply

  • Client Type, Event Type, Sales Person, Managed By, Term — multi-select filters

  • Balances As Of — pick a past date to see balances as they stood on that day (payments received after the date are excluded). A banner reminds you when you're not looking at live data — this is ideal for month-end reporting.

  • Hide Clients Under — hide clients whose total is below an amount, cutting the long tail of small balances

  • Show Only Past Due — hide clients whose entire balance is Current

  • Include Credit Balances — on by default; untick to hide clients with a negative total


Sending a Statement to One Client

  • Open the client's invoices with the eye icon, then click Statement Email.

  • Choose the recipient from the client's email addresses (or type a different one), optionally pick a payment method for the payment link, review the pre-filled subject and message, and click Send.

  • The client receives one statement covering all of their open invoices, with a cover page and attached invoice copies.


Sending Statements to Many Clients at Once

  • Select clients with the checkboxes — individually, per group, or with the Select All checkbox. The selection bar shows how many clients and dollars you've picked.

  • Click Send Statements. In the confirmation window you can:

  • Include or exclude each client before anything is sent

  • — Adjust each client's email address (for example, a billing contact)

  • — Pick a payment method per client, or use Payment Method For All to apply one choice across the batch

  • — Review and edit the subject and message — this is your statement email template, and shortcodes are filled in per client when each email is sent

  • Click Send. Each included client gets one statement covering their open invoices, and you'll see a summary of what was sent, failed, or skipped (for example, a client with no valid email address).

  • Sent statements appear under Accounting → Statements, and the Last Statement Sent column updates so you always know who has already been chased.


Receiving Payments

  • In the client's invoice list, click Make Payment next to an invoice to open the payment screen pre-filled for that invoice.

  • Or use the Receive Payment button at the bottom of the window to start from the client's oldest unpaid invoice — you can add their other open invoices on the payment screen.


⚠️ What This Page Already Filters Out

Keep these built-in behaviors in mind:

  • Quotes are not receivables. Only invoices that belong to an order are counted.

  • Voided invoices, canceled and expired orders, and order templates are excluded.

  • Fully paid invoices don't appear — a client only shows while something is outstanding.

  • Only completed (charged) payments count toward the balance.

  • Invoices without a due date count as Current. A note under the table tells you how many there are.


Exporting

Use Export to download the table as Excel, CSV, or PDF. Exports include the columns you currently have visible; the CSV uses raw numbers with no currency symbols, ready for your accountant or spreadsheet.
