Shared Contacts allow you to create contacts that can be reused across multiple transactions without being tied to a single client profile.
They're ideal for vendors, venue coordinators, planners, photographers, facility managers, or anyone you regularly communicate with across different events.
Where to Find Shared Contacts
Go to CRM in the main navigation.
Select Shared Contacts.
Creating a Shared Contact
Click the green Add Shared Contact button.
Complete the contact information.
Click Save Shared Contact.
Information You Can Store
A Shared Contact can include:
Company Name
First Name
Last Name
Contact Name
Phone Number
Cell Phone
Email Address
Contact Type
Department
Active or Inactive Status
Note: Contact Types are managed separately under your Contact Type settings.
Managing Shared Contacts
Once a Shared Contact has been created, it will appear in your Shared Contacts list.
From here you can:
Edit a contact using the pencil icon.
Delete a contact using the trash can icon.
Using Shared Contacts on a Transaction
When creating or editing a transaction, click into one of the contact fields.
Along with your client's contacts, you'll also see any Shared Contacts you've created.
Creating a Shared Contact from a Transaction
You don't have to leave the transaction to create a new Shared Contact.
Click the blue New Contact button.
Enter the contact information.
Enable the Make Shared Contact option.
Click Save.
The new contact will immediately become available for future transactions.
Finding Transactions by Shared Contact
You can quickly locate transactions associated with a Shared Contact.
Open your Transactions List.
Open the filters.
Locate the Shared Contacts filter.
Select one or more Shared Contacts.
The list will update to display only transactions associated with the selected contacts.
Sending Emails to Shared Contacts
Shared Contacts do not have to be the primary contact on a transaction to receive communications.
When sending an email from a transaction, you can select from both:
Client Contacts
Shared Contacts
This makes it easy to keep planners, venues, vendors, or other third parties informed without changing the transaction's primary contact.
