How Open-Ended Orders Affect Inventory Availability

Learn how open-ended orders affect inventory availability and how to find and correct open-ended transactions.

The Open-Ended option is designed for long-term rentals that do not have a firm end date.

Because open-ended orders affect how Rentopian calculates availability, it is important to use this option only when needed.

Mark a Transaction as Open-Ended

When creating a transaction, you will find the Open-Ended checkbox underneath the date fields and above Show Products.

Select this option when the end date of the rental is flexible, meaning there is a possibility the rental will be extended.

How Open-Ended Orders Affect Availability

When an item is added to an open-ended order, Rentopian treats that item as unavailable starting on the order's start date.

The item will continue to be unavailable until the order is marked as returned.

Example: An open-ended furniture rental starts on June 1. Rentopian will continue to treat those items as unavailable after June 1 until the order is returned, even if a later date appears on a transaction.

When to Use Open-Ended

Open-ended orders are helpful for longer rentals where the return date is flexible.

Examples may include:

  • Furniture rentals for home staging

  • Long-term tent rentals

  • Other rentals where the return date is not known

This helps prevent the inventory from being promised to another customer before the items are physically returned.

Important: Using Open-Ended when it is not needed can cause unexpected overbooking warnings and affect your inventory availability.

Why Does an Open-Ended Order Show an Overbooking?

You may see an overbooking warning on an open-ended transaction even when the Product Availability chart shows enough inventory during the transaction's listed dates.

This can happen when the same product is already reserved on another transaction in the future.

Because an open-ended order does not have a firm return date, Rentopian assumes the item may still be out when that future transaction begins. The system will warn you about the possible conflict.

Tip: If the availability chart looks correct but an open-ended order is showing an overbooking, check for future transactions using the same inventory.

Find Open-Ended Transactions

You can quickly find transactions that are currently marked as open-ended.

  1. Go to your Transactions list.

  2. Open the filters.

  3. Select the Open-Ended filter.

The list will filter to transactions that are marked as open-ended.

Remove Open-Ended from a Transaction

If a transaction was marked open-ended by mistake, you can remove the setting.

  1. Find the transaction and click the pencil icon to edit it.

  2. Uncheck Open-Ended.

  3. Click Show Products to update the transaction.

Once Open-Ended is removed, Rentopian will calculate availability using the transaction's normal rental period. Any overbooking caused only by a future transaction outside that rental period will clear.
