Learn how to customize Rentopian email templates with formatting, images, shortcodes, and HTML to create more branded emails.

How to Customize Email Templates with HTML

Rentopian's email templates include the information needed for each type of email, but you can customize them to better match your company's brand.

You can use the standard email editor for basic changes or add your own HTML and CSS for a more customized design.

Find the Email Template

To find a template you want to customize:

  1. Go to Settings.

  2. Select Emails and Templates.

  3. Open the main Templates tab.

  4. Search for the email template you want to edit.

Tip: Searching for words from the email's subject line can make it easier to find a specific template.

Use the Standard Email Editor

The Content section includes many of the same tools you would find in a standard word processing program.

You can use these tools to:

  • Format your text

  • Insert images

  • Add company information

  • Insert shortcodes that pull information about the client or transaction

For more advanced design changes, you can edit the template's source code.

Open the Source Code

From the Content editor:

  1. Click View.

  2. Select Source Code.

This opens a window where you can add or edit the HTML and CSS used to design the email.

You can create the HTML yourself or use an outside design tool that can generate HTML for your design.

Create Your Email Design

In the video example, Canva is used to create a more branded Request Review email.

Important: Keep your Rentopian shortcodes. When replacing the existing email design with custom HTML, make sure you copy any needed Rentopian shortcodes into the new design. These shortcodes generate important client and transaction information when the email is sent.

Some templates may also contain a shortcode or link that performs an important action. For example, the Request Review template contains the workflow link that generates the button your customer uses to open the Request Review process.

Before replacing a template: Review the original template and make sure your new design keeps any shortcodes, links, or other dynamic content that you still need.

Add the HTML to Rentopian

Once your design is ready, copy the HTML provided by your design tool. You can use any preferred tool of your choosing to generate the HTML for your email. In our video tutorial, we used Canva.

The steps for getting the HTML will depend on the program you use. In the Canva example:

  1. Click Share.

  2. Choose Copy HTML.

  3. Copy the generated HTML to your clipboard.

Return to your Rentopian email template and open View > Source Code.

Paste your HTML into the Source Code window and click Save.

Once saved, the Content editor will display the formatted version of your new email design.

Save the email template when you are finished.

Test Your Customized Email

After updating the template, test the email to make sure your design and Rentopian shortcodes work as expected.

For example, after sending a Request Review email, you can open the transaction's Activity History and click the envelope icon to view the email that was sent to the customer.

Check that:

  • Your design displays correctly.

  • Client and transaction information generates correctly.

  • Images and branding appear as expected.

  • Buttons and links work correctly.

Good to know: The Source Code option is available throughout Rentopian's email templates, so you can use this process to create a more consistent, branded look across the emails your customers receive.
