Contract Management

In this guide, we'll explore the ins and outs of contract management within Rentopian. By the end of this tutorial, you should be comfortable with creating, customizing, and managing contracts in the system.

Setting up Contracts

Begin by navigating to Settings > Contracts. This is where you can modify contract settings and add new ones.

Signature Service Providers

Rentopian offers three signature options:

  • Rentopian signature service (default)

  • DocuSign

  • DigiSigner

With the Rentopian signature service, you can choose whether clients can type, draw, or both to sign contracts.

General Settings for Contracts

There are two main ways to set up contracts:

  1. Appending the contract to the bottom of quotes/orders.

  2. Using templates to create contracts.

In the general settings tab, you can dictate when contracts are generated and emailed based on the creation and updates of transactions.

Contract Templates

You can navigate to templates to create and manage contract templates. These allow for more detailed customization, and you can specify various conditions for when different templates are used, such as transportation type or client type.

Templates can be attached automatically to orders and quotes or added manually upon request.

Generating and Managing Contracts on Quotes/Orders

Once you've set up your contracts and templates, creating a quote will automatically generate the relevant contracts based on your settings. You can then view, email, sign, download, or delete these contracts as needed. Additionally, Rentopian offers the functionality to send contracts for e-signature or to attach scanned, signed contracts to the system.

Remember, understanding and effectively managing contracts is crucial for maintaining clear communication with your clients. If you have further questions about working with contracts in Rentopian or sending them to clients, please reach out for assistance.
