1. Introduction to Web Forms Module
Web Forms is an additional module to Rentopian.
If it's not visible on the left side menu, contact Rentopian support to have it added.
Web Forms are used to collect extra information, either about the client or event details like event dates and delivery addresses.
2. Navigating the Web Forms Sections
Forms: Lists existing Web Forms or lets you create new ones.
Templates: Allows creating a header or footer template, which might include branding assets.
Submits: Displays submissions of the Web Forms. Review, approve, or apply changes to an order, quote, or client from here.
3. Creating a New Web Form
a. Click "Add Web Form".
b. Provide a title, e.g., "initial event information".
c. Choose a type: tie the Web Form to a transaction or a client.
d. Set an expiration duration for the form.
e. Select a pre-created header template (optional).
4. Building the Web Form
a. Drag and drop fields into the form builder section.
b. Add new fields with icons or select existing fields tied to orders or quotes.
c. Edit each field, label them, and mark mandatory fields as required.
d. Save the Web Form.
5. Testing the Web Form
a. Navigate to the 'Quotes' section.
b. Open an existing quote.
c. Click "Send Web Forms", choose the Web Form, and email template.
d. Send the Web Form to a client.
6. Client Perspective
a. The client receives an email with the Web Form.
b. They fill it out, providing information such as address and event details.
c. They save the Web Form.
7. Reviewing Submitted Web Forms
a. Back in Rentopian, you'll receive a notification of a new submission.
b. Click the link to view the submitted Web Form.
c. Review the information; make changes if needed and save.
d. The status changes to 'resolved' once reviewed. Data will be updated on the related order or quote.
8. Notes on Web Form Usage
a. Web Forms are not meant for embedding on websites; they're for email requests.
b. Rentopian offers a different feature for website-based forms.
9. Sending Client-specific Web Forms
a. Only transaction-tied Web Forms can be sent from quotes.
b. For client-specific forms, go to the 'client's list'.
c. Choose a client and click the "send form" button. d. Pick the client-related Web Form and send it.
