Understanding Failed and Bounced Emails

If you’ve sent an email and it didn’t go through, you might have experienced a “failed” or “bounced” email. This happens when an email can't be delivered to the intended recipient. Here’s a simple guide to help you understand why emails fail and what you can do about it.

Go to the Settings section from the main menu click on the E-mails and Templates cell block and click on the Failed Emails tab.

This section provides you information on failed emails only if you use the Rentopian email service and SMTP settings were not activated. In this case, you will see information about all the failed emails on the list below.

If SMTP details are entered to send emails from your email account, Rentopian will not track failed emails or delivery and open statuses.

The failed emails list will list emails that were not delivered for different reasons, such as incorrect email addresses, bounced emails due to filtering or any other reasons. It is useful to check this list if any of your clients are not receiving your emails to ensure there is no mistake or possible cause for undelivered emails.

Failed email notification will also appear in the Notifications section to be seen and addressed as soon as possible:

The list can be sorted by any column by clicking on the column name. You can also delete it by clicking on the button under the “Actions” column if you addressed the issue such as correcting a misspelled email address.

Most Common Reasons for Failed Emails

  1. Incorrect Email Address (Non-Existent Address)

    • What it means: This happens when the email address you’re sending to doesn’t exist. You might have made a typo, or the address may no longer be active.

    • What to do: Double-check the email address for any mistakes. If the address is correct but still failing, reach out to the recipient through another method to confirm their address.

  2. Previously Bounced Address

    • What it means: If an email has failed to be delivered to a specific address in the past, the system might remember this and block future emails to that address.

    • What to do: Contact the recipient to verify if their email address has changed or if their mailbox is working properly. If you know the email is valid, you may need to manually clear the bounce from your email provider's logs. Reach out to Rentopian Support if you are sure that the email address is correct and it was a temporary issue with your client's email address.

  3. Temporary Bounce: "Server Busy" or Throttling (4.1.900)

    • What it means: This error occurs when the recipient’s email server is too busy to handle more emails from you. This is usually caused by sending too many emails at once.

    • What to do: This is a temporary issue. We will try to resend your email multiple times over the next several hours (up to 8 hours in total). Just give it some time, and the email should eventually be delivered.
