If you haven’t created a quote, you can find instructions for that process in our CREATE A TRANSACTION article. Both quotes and orders are called transactions in Rentopian with the difference being a quote does not reserve your inventory but an order will reserve it. The triggers for when a quote transitions should be determined by your team’s workflow and policies. If you would prefer, this process can be automated in the system. However, converting the quote to an order manually is very easy.
First navigate to the quote you’d like to work with. One way to get to your quote is by using the search function in the top left of your dashboard:
When you click into the magnifying glass, you’ll be able to enter the quote number or client name.
The other way to find your quote is by clicking on the “Quote” option in your navigation menu. This will take you to your list of quotes. You can use the search function to search similar to the search in your top right hand but the search option in your quotes list will search only quotes where the search function in your top left will search all transactions.
From your list, you’ll use the 3 icons at the end of the row to either view, edit, or delete the quote. For our workflow of moving a quote to an order, we’ll click the view icon.
Once you’re in your quote, you’ll click the green “Convert to” button.
When you click, it will give you the option to convert the quote to an order.
Once you click, you will get a pop up window asking you to confirm that you would like to move the quote to an order.
Once you click to confirm, your quote will then be transitioned to an order. You’ll notice the labels have changed from “Quote” to “Order” and the workflow options have updated to allow you to revert back to a quote using the orange button or to move to the next step with the green button to “Rent Out” the order.
Great work! You've transitioned your quote to an order. Your inventory is now reserved so when you create new orders with these items, you'll get the overbooking warning. If you have any questions or need support, please reach out to our team.
