This tutorial covers the step-by-step process of using Rentopian's Review, Sign, Pay Wizard. This feature allows clients to review quotes/orders, sign contracts, and make payments efficiently.
Step 1: Enabling the Feature
Navigate to Settings: Go to the Settings -> Orders section of your Rentopian account.
Enable Review, Sign, Pay Wizard: Scroll to the bottom of the settings and find the option to enable the Review, Sign, Pay Wizard. Click the checkbox to activate it.
Configure Default Settings: You can include contracts and payment steps in the client workflow and update workflow statuses manually.
Step 2: Customizing Workflow Options
Client Changes Request: Allow clients to request changes during the process.
Payment Skipping Option: Enable clients to skip payment if paying by cash or check.
Wizard Email Triggering: Set up the wizard email to be sent when a quote is converted to an order or linked to product URLs on your website.
Email Automation: Choose when automated emails with a review request button are sent - at order creation, update, or both.
Step 3: Customizing Messaging
Custom Messages: You can customize the messages clients see after completing or rejecting the quote process.
Step 4: Updating Settings
Save Changes: After selecting your options, scroll down and update your settings.
Step 5: Reviewing and Sending Quotes
Go to Quote Listing: Return to the quote listing page, where you will see a new column for workflow status.
Request Review: Open a quote, scroll down to find the 'Request Review' option, and select a client email.
Web Forms and Attachments: If using Rantopian's web forms, attach them here. Choose files to attach from the quote or order file section.
Step 6: Email Customization and Sending
Email Details: Customize the subject and content of the email before sending.
Send Request: Click 'Send Request' to dispatch the email to the client.
Step 7: Client Interaction
Client Review Process: Clients receive an email to review the quote, sign the contract, and make a payment.
Adjustment Requests: Clients can request job adjustments, which are sent back to Rantopian with notes for modifications.
Step 8: Completing the Process
Signature and Payment: Clients sign the contract and make the required payment.
Final Step: After payment, clients are taken to a completion page with a success message.
Step 9: Finalizing Workflow Status
Refresh and Update: Refresh the quote page in Rantopian to see the updated workflow status.
Manual Status Update: Manually update the status if necessary to keep the quote current.
Step 10: Managing Orders and Quotes
Order Section: In the order section, track the status of each quote or order.
Activity History: View the activity history for detailed insights into the client interactions with each quote or order.
