Creating and Managing a User Role

Before adding additional team members to your Rentopian account, you'll first need to create additional roles. Permissions for access to the system are handled through the user roles.

To access different sections of the system, each user must be assigned specific permissions. You may customize the permissions based on each user’s job duties and responsibilities. For example, to manage invoices, users would need 3 permissions:

  1. View the list of existing invoices

  2. View details of a specific invoice

  3. Edit/update the invoice.

Permissions are assigned not to the user directly, but to the user role.

Here are a couple of examples:

  • A role that would be applied to a warehouse employee’s account would assume permissions to view packing slips to prepare the delivery; however, it’s unlikely they would need to have access to company’s accounting section.

  • The employee who handles the company’s marketing (e.g. with a role called “Marketer”) would only need access to the “Social promotion” and “Website” modules.

To create a user role, you'll click on Settings in your main navigation.

From the settings options, you click on the Team Members tile.

From the Users section, you'll click on the Roles tab.

This section lists all of the existing roles. You may edit existing roles by clicking on the pencil icon, delete with the trash can, or copy with the copy icon under actions. To create a new role, you'll click on the green Create Role button.

Next create a name for the role (example: Front desk, Salesperson, Warehouse, Driver, etc..).

Then you'll turn on the areas the user should have access to. Each role must have its own permissions applied. Permissions are based on each module accessible to your company. You can select all, select all of a category, or select specifics within a category.

To expand a category, you'll click the + (plus) symbol next to the title.

Once you have selected the appropriate permissions, you'll click the green Save Role button.
