The Transactions list page is a powerful tool to help you get a clear picture of the status of your orders and quotes. Using the filters, you can see orders that need to be followed up on, or orders that should be completed.
To get to your Transactions page, you’ll click on the Transactions option in your main navigation menu.
At the top of your Transactions page will be the options to create a new transaction with the green Create Transaction button. You can find more information about creating a transaction in our article on creating a transaction.
You can also hide the top table of selected transactions with the white Hide selected orders table button, or use the gray Show / Hide Columns option to alter the viewable fields.
Below the selected orders table, you’ll find the filters option with the table of all transactions matching the selected filters. If none are selected, you’ll see all your transactions. To filter your transactions, click the white Filters button and choose which filters to use.
Filters Descriptions:
Transaction - you can use these to filter based on transaction type.
Order Status - you can use these options to filter based upon the order status.
Workflow Status - these options are based upon the status of the request review on your transactions. Pending meaning there has been no request review sent and then progressing from there. You can find more information about the request review process in the associates article in the Knowledge Base.
Signature Status - these options are based upon signature status of any contracts associated with your transactions.
Payment Status - these options are based upon the payment status of your transactions.
Transportation - these options are based upon the selected transportation options under the logistics of your transactions.
Finalization - this is based upon whether orders have been marked as finalized. If you are not already using this option, you can turn this on under your Order Settings.
Invoice Terms - this is based upon the invoice terms of the transactions. Most invoice terms are determined automatically based on your settings and client types, but you are also able to change the terms of specific invoices.
Transaction Starting - allows you to include transactions that start within a specified time period of your selected date range.
From and To - these allow you to create the date range of transactions you’d like to view.
Date range for - you can use these to specify whether your date range should be based on the transaction Start Date (when the transaction starts) or the transaction Creation Date (when it was created) or End Date (when the transaction is completed).
You can use the filters to find orders that you need to follow up on. For example, if you want to see all the orders that were created last week that are still in review status, you would choose the Workflow Status of Review and set the date filters for the previous week with the Creation Date option selected. Or, if you want to see any orders that will be delivered in the next 3 days that have not been paid, you would use the Order transaction type, We Deliver options in the transportation options and Not Paid under the payment status.
At the right of this lower table, you also have the option to Show / Hide Columns or to Export the list of transactions.
For exporting, you have the option to export to a PDF or Excel file.
Selected Orders Table
Any transactions that are orders can be selected and put into the top transaction list table by clicking the checkbox in the left of the row, or select all by clicking in the checkbox at the top of the left column.
Once moved to the upper table, you will have some action options by clicking on the gray Actions button. Or, you can clear this table by clicking on the red Clear button with the trash can icon.
Your action options will include Rent Out, Revert to Created, Return, Finalize, Un-Finalize, Print Label (1 per page), Print Label (grouped), Print Details, Print Packing List, or Print Picking Slip. These options when selected will apply the action to all the transactions in the selected transaction table. If you click Rent Out it will move your selected transactions all to rented out status for example or if you click Finalize it will mark all the selected transactions finalized.
