Enabling Automated Quote Expiration & Email Notifications in Rentopian

Automating the expiration of quotes and sending timely reminder emails helps keep your clients informed and encourages faster decisions. Follow the steps below to set up quote expirations and notifications in Rentopian.

1. Configure Quote Expiration

  1. Go to Settings > Orders: In the Orders section, scroll down to find the Expired Quote section.

  2. Enable Automatic Expiration: Check the box to activate automated quote expiration.

  3. Set Expiration Days: Specify the number of days from the quote’s creation date until it expires (e.g., 30 days).

  4. Expiration Notification: Set how many days before expiration the client should receive a warning email (e.g., 10 days).

  5. Limit to Start Date (Optional): If you want the quote to expire sooner if its start date occurs before the expiration window, enable the related setting.

  6. Allow Payment And Signatures On Expired Quotes (Optional): Check this option if you wish to permit clients to sign contracts and make payments even after the quote has expired.

  7. Save Changes: Scroll down and click Update Settings. You’ll be prompted to keep existing quotes’ expiration settings or apply the new rules.

2. Enable the Expiration Notification Email

  1. Navigate to Email Templates: Go to Settings > Emails and Templates.

  2. Automated Emails: Click Automated Emails tab, then look for Quote Expiration Warning Automation.

  3. Turn On the Automation: Enable this email so it sends out the specified number of days before the quote expires.

  4. Customize the Template (Optional): Edit the template’s subject and body to reflect your brand voice and messaging.
