The Request Review process helps streamline approvals, contracts, and payments for your customers.
Customers can:
Review their quote or order
Request changes
Sign contracts
Pay deposits or balances
This helps reduce manual follow-up and saves time.
How Request Review Works
From the Order View screen:
Go to the left-side Actions menu.
Click Request Review.
A preview window will open where you can customize the workflow for that customer.
Options Available When Sending a Request Review
Include Contracts
Add contracts for the customer to sign during the review process.
Include Payment
Collect a deposit or payment during the review process.
Exclude Card Fee
If you charge card processing fees, you can remove the fee for this request review.
Authorize Security Deposit
Authorize the deposit instead of fully collecting the payment.
Setting Default Request Review Options
You can control the default workflow behavior for your company.
Go to Settings β Order Settings.
Find the Request Review section.
From here, you can choose default settings such as:
Include Contracts
Include Payment
Exclude Card Fee
If these are disabled in settings, they will not be selected automatically when sending a Request Review.
You can still enable them manually for individual transactions.
Workflow Automation Options
Automatically Update Workflow Status
If a customer signs contracts and pays manually, Rentopian can automatically update the workflow status.
Allow Requesting Changes
Lets customers request edits instead of accepting the transaction.
Enable Payment Skip
Allows customers to skip the payment step.
Website Product Links
If your website is connected to Rentopian, you can enable product links.
Customers can click products during Request Review to view the product page on your website.
This is helpful if customers need more product details or photos.
Automatically Send Request Reviews
You can automate when Request Reviews are sent.
Separate automation options exist for:
Quotes
Orders
Website Orders
You can send Request Reviews:
When a transaction is created
When a transaction is updated
When a transaction is created and updated
Using Web Forms
If you have the Web Forms Premium Add-On, you can include a web form as part of the Request Review process.
You can also customize:
The confirmation page
The request changes page
Blocking Late Confirmations
You can block customers from confirming quotes too close to the event date.
Example:
You set a 3-day limit
The customer opens the review 2 days before the event
The system blocks confirmation
This helps avoid last-minute confirmations.
You can still ignore this block for specific transactions if needed.
Blocking Overbooked Transactions
You can also block Request Reviews if a transaction becomes overbooked.
Example:
You send the Request Review
The order later becomes overbooked
The customer will not be able to confirm it
This helps prevent unavailable inventory from being confirmed accidentally.
You can still override this block for individual transactions if needed.
Best Practices
Use contracts and payments together for a smoother workflow.
Allow change requests so customers can communicate edits easily.
Use overbooking blocks to avoid inventory issues.
Test your Request Review process before automating it.
