How to Send a Request Review

Learn how to send your customer a copy of their quote where they can also sign the rental agreement and make their required payment.

A Request Review lets you send your customer:

  • A copy of their transaction

  • Contracts to sign

  • A payment request

This helps streamline approvals, signatures, and payments.


Step 1: Open the Request Review Window

  • Open the transaction.

  • Find the left-side Actions menu.

  • Click Request Review.


Step 2: Choose the Contact

The system automatically selects the contact listed on the transaction, if one is present, you may choose a different contact if needed.

Important: Request Reviews can only be sent to one contact at a time.


Step 3: Add Optional Items

You may also:

  • Add attachments

  • Include a Web Form (requires the Web Forms Premium Add-On)

  • Preauthorize the Security Deposit rather than fully collecting

  • Customize which steps are being included

  • Exclude the payments from this Request Review from any card fees set up in your payment gateway

The available workflow options depend on your default Request Review settings.


Step 4: Review the Email Message

The email subject and message come from your Request Review email template.

You can find this template under:

Settings β†’ Emails and Templates β†’ Templates

You can search "Review" in your template search bar to find the template used in the Request Review Workflow.

To customize an individual email being sent, you may edit the message before sending without changing the main template. For example, adding "It was great speaking with you" or "I received the changes you requested and am sending the updated quote."


Understanding the Workflow Button

When you open the Request Review sending window, the email generated from the template will display a shortcode instead of a button in the preview.

Do not worry β€” when the email is sent, the shortcode automatically becomes a clickable button (or link) for your customer.


Step 5: Send the Request Review

  • Click the green Send Request button.

The workflow status will now change to Review.

This means the customer has received the Request Review but has not completed it yet.


Viewing Sent Request Reviews

Go to the Activity History tab on the order view screen.

You can:

  • See when the Request Review was sent

  • Open the email preview using the email icon


What the Customer Sees

The customer first reviews the transaction details.

The layout depends on your document template setup.


Customer Options

Request Adjustments

If the customer wants changes:

  • They click Request Adjustments

  • They enter notes

  • The workflow status changes to Rejected

You can hover over the workflow status on the order view screen to see their note.

The adjustment request also appears in Activity History.


Confirm and Continue

If the customer approves the transaction:

  • They click Confirm and Go to the Next Step


Signing Contracts

If contracts are included:

  • The customer previews the contract

  • Clicks Sign the Contract

  • Draws or types their signature

  • Adds initials if required

The signature field works with:

  • Mouse

  • Trackpad

  • Touchscreen devices

After signing, the customer automatically receives a copy of the signed contract.


Making a Payment

If payment is included in the workflow:

  • The customer enters payment information

  • Repeat customers may reuse saved cards if enabled

  • The amount due is based on the transaction deposit settings

If tipping is enabled, customers may also add a tip.

  • The customer clicks Confirm and Pay

  • The payment is processed through your payment gateway


Best Practices

  • Personalize your message before sending.

  • Use contracts and payment together for faster confirmations.

  • Review your email templates regularly.

  • Test your workflow before sending to customers.
