Availability / Utilization Report

Understand the Availability / Utilization report: a single-day snapshot of inventory availability and utilization, and what it automatically leaves out.

The Availability / Utilization report gives you a single-day snapshot of your inventory — how much is available, how much is committed to quotes and orders, and how much is rented out — along with utilization percentages.


Where to Find It

Reports → Product & Inventory Reports → Availability / Utilization


What This Report Shows

  • Location and product name with category

  • Total inventory owned

  • Available, Quoted, Ordered, and Rented Out quantities for the selected day

  • Utilization % based on rented-out items

  • Utilization % based on orders

  • Utilization % based on orders + quotes combined


Filters You Can Apply

  • Date — a single day (not a date range). The report shows availability as of this day, so pick the date you want to check.

  • Location — if your company has more than one location, you can limit results to specific locations. (Single-location accounts won't see this filter.)

  • Unit type — view quantities by Length (linear feet, the default) or by Quantity (item count)


⚠️ What This Report Already Filters Out

Keep these built-in behaviors in mind when reading the results:

  • It is a single-day snapshot, not a date range. Availability is calculated for the one date you pick, based on what is committed that day. Choosing a different date can change every number.

  • Length view depends on product setup. When viewing by Length, products that don't have a length value won't contribute to the linear-feet totals — switch to Quantity to see item counts instead.


How to Read the Results

"Available" is what's left after subtracting everything already committed that day (ordered, quoted, and items set aside) from your stock on hand. The three utilization columns let you measure demand at different levels of certainty: rented-out only, confirmed orders, or orders plus quotes.


Permissions & Visibility

You will only see data for the locations you have access to.


Exporting

You can export the report to Excel, CSV, or PDF. Larger reports are generated in the background — you'll be notified when the file is ready to download.
