Overbooked Orders Report

Find orders where demand exceeds available stock, with filters, grouping, and built-in exclusions.

The Overbooked Orders report surfaces orders where the quantity committed exceeds what you have available, so you can resolve conflicts before they become a problem on event day.


Where to Find It

Reports → Transaction Reports → Overbooked Orders


What This Report Shows

  • Order number, title, and type

  • Product and variant

  • Overbooked, ordered, and resolved quantities

  • Event and order dates, location, client, and the user who created the order


Filters You Can Apply

  • Date type — match the date range against the order dates or the event date

  • Date range — the period you want to review. A single report can cover up to about 13 months at a time; to review a longer span, run consecutive ranges and combine the exported files in Excel.

  • Group by — order or product

  • Order type and order status

  • Location — if your company has more than one location, you can limit results to specific locations. (Single-location accounts won't see this filter.)


⚠️ What This Report Already Filters Out

Note what this report leaves out automatically:

  • Only orders with an active overbooking appear. Once an overbooking is resolved, it stops showing.

  • Order templates are excluded.

  • If you don't choose an order status, the report defaults to created and rented-out orders.


Exporting

You can export the report to Excel, CSV, or PDF. Larger reports are generated in the background — you'll be notified when the file is ready to download.
