Add Inventory to Quarantine
Inventory Quarantine lets you set aside part of your inventory so it is unavailable for transactions.
You can quarantine inventory indefinitely or choose an end date when you expect the inventory to become available again.
Open Inventory Quarantine
To view your quarantined inventory:
Go to Products in the main navigation.
Select Quarantine from the submenu.
There are two ways inventory can be added to quarantine:
Mark an item as Needs Repair while returning a transaction.
Manually add an item from the Quarantine section.
Add an Item to Quarantine During a Return
If an item is damaged or needs repair when it comes back from a transaction, mark the item as Needs Repair during the return process.
Rentopian will automatically move that inventory into quarantine.
When marking the item as Needs Repair, you can also add a damage fee and description when needed.
Good to know: You do not need to separately add the item to Quarantine when it is marked as Needs Repair during the return. Rentopian adds it automatically.
Manually Add an Item to Quarantine
You can also place inventory into quarantine manually.
From the Quarantine section, click the green Add button.
Enter the information for the quarantine:
Location: If you have multiple locations, select the location for the inventory.
Title: Add an optional title to help explain why the item was placed in quarantine.
Type: Select Damage, Maintenance, or Other.
Start Date: Choose when the inventory should become unavailable.
End Date: Choose when the inventory is expected to become available again, if known.
Product: Select the product you want to quarantine.
Quantity: Enter how many of that product should be quarantined.
Description: Add any additional information about the quarantine.
Attachment: Add supporting files or photos when needed.
The quarantine Type is used for documentation and helps you identify why an item was placed in quarantine.
When you are finished, click the green Add Items to Quarantine button.
Choose an End Date or Leave the Item in Quarantine
The End Date is optional, but it has an important effect on future availability.
When You Know the Return Date
Only add an end date when you know when the inventory should become available again.
For example, if an item is being sent out for regular maintenance and you know when that maintenance will be completed, you can enter that date and time.
This allows the inventory to be available for future transactions that take place after the quarantine period ends.
When You Do Not Know the Return Date
If you do not know when an item will be repaired or ready to rent again, leave the End Date blank.
The inventory will remain unavailable until it is released from quarantine.
Important: If you do not have a definite date when the item will be available again, leave the End Date blank. This helps prevent the item from being accidentally booked on a future transaction before it is ready.
Add Photos and Documentation
You can add a description and attachments to a quarantine record.
Attachments can be especially helpful for documenting damage. For example, you can attach photos showing the condition of the item or other information related to its repair or maintenance.
How Quarantine Affects Availability
Inventory in quarantine is removed from the quantity available for transactions during the quarantine period.
For example, if you own 10 of an item and place one in quarantine, only 9 will be available for transactions while that item is quarantined.
In the product availability chart, a yellow line indicates that some of the inventory is in quarantine.
If the quarantine does not have an End Date, the reduced availability will continue for future transaction dates until the item is released from quarantine.
Example: If you own 10 fans and one is quarantined indefinitely, Rentopian will show 9 available. The quarantined fan will remain unavailable until it is released back into inventory.
